Emails have been sent to all submitters regarding the status of their abstracts. However, if you haven't received an email notification, we kindly request you to check your spam folder as sometimes our messages may get filtered there. Additionally, you can also view the outcome of your abstract submission by visiting our abstract management website: https://oxfordabstracts.com/. Australian Statistical Conference 2023: Oral presentation guidelines

Congratulations on being accepted for an oral presentation at ASC 2023!

All ASC presentations will be held as parallel sessions from Monday 11th December to Thursday 14th December. Contributed and invited sessions will be scheduled in one of the following rooms:

Building 11: University Hall (see Attachment 1)

Building 20: Lecture room 1 Lecture room 2 Lecture room 3 Lecture room 4

For all rooms, we recommended using a font size of 28pt or higher (or LaTeX equivalent).

Your session will be run by a volunteer chairperson. Chairs will be responsible for introducing speakers, facilitating Q&A discussion after each presentation and timekeeping, to ensure your session runs to schedule.

The format of your presentation will depend on whether your abstract has been accepted for an SSA section-invited session or a contributed session.


Contributed session presentations.

You will be allocated to a parallel session based on your abstract topic. Each contributed session will run for up to 90 minutes, depending on the number of session speakers.

You have been allocated twelve (12) minutes for your presentation, and an additional three (3) minutes for audience questions. Your chairperson will signal 10 minutes into your                            presentation, and again at 12 minutes. Please note your allocated time in the conference program covers your presentation, audience questions and speaker changeover.


SSA section invited presentations.

Each SSA section invited session will run for 90 minutes.

The length of your presentation will depend on the number of speakers and the format of your session, as decided by your SSA section chair(s). If you have not done so already, please   discuss the timing of your presentation with your SSA section chair(s).

For your presentation, the session chair will signal when you have 2 minutes remaining of your allotted time, and again at the end of your allotted time.


Before the conference:

Important: The SSA is committed to hosting an inclusive event for all conference delegates. To contribute to this commitment, we strongly encourage you to refer to guidance from the SSA Equity, Diversity and Inclusion committee when preparing your presentation. The guidance is available below.

The day and time of your presentation is listed in the conference program. Please note that your presentation day/time may change before the conference, due to unforeseen circumstances. You will be notified of changes if they occur.

The conference organising committee will introduce you to your session chair and other session speakers by email closer to the conference.

If you are attending online, a link to your scheduled session with sign-in instructions will be sent to you by email closer to the conference.

All email correspondence will be sent to the address entered into Oxford Abstracts at the time of abstract submission. If your email address has changed, please notify the conference organisers as soon as possible by email asc.ozcots2023@gmail.com.


On the day of your presentation:

If you are presenting in-person, please arrive at your scheduled room 10 minutes before the start of your session and make yourself known to the chairperson.

If you are presenting online, please sign-in 15 minutes before the start of your session, using the link provided. This additional time is needed in the event of technical difficulties.

It is important that your presentation does not exceed the time allotted. Please be mindful that any delays will reduce the time available for audience Q&A and potentially result in your session running overtime.

Australian Statistical Conference 2023: Poster presentation guidelines

Congratulations on being accepted for a poster presentation at ASC 2023!

The in-person poster session will be held on Monday evening, 11th December. The location of the poster session is University Hall. During the session, you will have the opportunity to discuss your poster one-on-one with other conference delegates.

Following the poster session, your poster will be displayed for the remainder of the conference in University Hall. Please collect your poster from University Hall after lunch on Thursday 14th December.

In addition to the poster session, you have been offered the opportunity to give a 3-minute lightning presentation about your poster. Lightning presentations will be run over two (2) contributed sessions on Monday, 11th December in University Hall (see Attachment 1).

You are allowed one (1) PowerPoint slide for your lightning presentation. Your slide will be displayed for the duration of your presentation. You may use your slide to show your poster in full, or a part of your poster as the focus of your presentation. Given the size and setup of University Hall, we recommended using a font size of 28pt or higher. We recommend including your name and poster title on your slide to help conference delegates find you at the in-person poster session on Monday evening.

Poster board dimensions are 1600 mm (height) by 1200 mm (width). To make the most of your space, we recommend preparing your poster in A0 portrait format.

For your lightning presentation, your slide must be created using Microsoft PowerPoint and saved in 16:9 (widescreen) format. This will allow for all presentations will be compiled into a single slide deck by the conference organisers, for display during your session.

Please email your slide to asc.ozcots2023@gmail.com by 24th November. An email reminder will be sent closer to the due date. The conference organisers cannot accommodate slides received after the due date. To assist the conference organisers, please use the filename convention: Lightning_[First name]_[Last name].pptx.

If you are attending online, a link to your scheduled session with sign-in instructions will be sent to you by email closer to the conference.

Please bring your poster to the conference venue on Monday morning, 11th December. You will be directed by the conference organisers to University Hall where you can hang your poster on the boards provided.

Diversity and Accessibility considerations at Australian Statistical Conference 2023

Please be mindful that not all disabilities and accessibility issues are visible. Here are some guidelines to help ensure the conference presentations are more broadly accessible to conference attendees.

For Chairs

Please be considerate of remote participants and enable their engagement with the sessions as much as possible. This includes:

o   Reminder to use microphones for all discussions between speakers and others in the room so that online audience can follow conversation.

o   Chairs should repeat questions or statements into the microphones when someone in the room speaks without a microphone.

o   Ensuring equal attention to questions asked both online and in the room. Please consider alternating questions between online and in-person.

o   Allowing the option for online users to unmute microphones and ask questions verbally or state their written questions on their behalf.

o  Remind for in-person audience to pass around microphone for all discussions, and to state name and organisation first when asking questions or comments following a presentation.

o  Ensure volume of microphone is at an appropriate level (i.e. not too loud or soft).

If Chair is unable to attend, alternate Chairs should aim to maintain equity and diversity in the Chairing team. Alternate chairs should also be provided with and aware of these guidelines.

 

For presenters

o         Please appropriately pace presentations so audience can understand both audio and visual information being presented.

o         Ensure all presentation graphics, pictures and videos are described audibly.

o        Please upload slides prior to conference so that transcripts may be provided to audience members. Live captioning may also be enabled for audience members.

o          Consider using colour blindness friendly colour schemes. There are various online palettes that can help you make your decision (e.g. MathLogic, Coolors)

o         Ensure text size is appropriately large and slides are not overcrowded with graphics or text.
